About the Position
Southern Bus Charter seeks an experienced, energetic, innovative person to join a successful team as an administration officer. As an administration officer, you play an integral role in the delivery of high-quality customer service for Southern Bus Charters- clients. A cheerful, organised, professional and efficient process in liaising with the Owners, General Manager, Maintenance Manager, drivers and other administration staff is essential at all times.Through considered attention to the needs of the client and with effective administration, clients, staff and suppliers should leave Southern Bus Charters having enjoyed a positive experience. This will ensure return custom and assist Southern Bus Charters to retain a competitive edge through good client service and positive promotion.You will be required to undertake general and specialist administration duties which change from time to time, including but not limited to the followingReception duties, including responding to enquiries as appropriate, consistent with knowledge of the organisation-s operations and services or where presentation, or the use of interpersonal skills is a key aspect of the position; Operation of business equipment including computerised telephone equipment, computers and printing devices; Word processing, such as the use of a word processing software package to create, format, edit, correct, print and save text documents such as standard correspondence and business documents; Maintenance of records or journals or both including initial processing and recording relating to the followingi. Reconciliation of accounts to balance; andii. Incoming or outgoing payments; andiii. Invoices; andiv. Debit or credit items; andv. Letters Computer , including using a software package which include one or more of the following functionsi. Create new files and records;ii. Spreadsheet or worksheet;iii. Graphics;iv. Accounting or payroll file;v. Following standard procedures and using existing models or fields of information;vi. Arrange routine travel bookings and itineraries or make appointments;vii. Use industry specific software to make client reservations. 6.Provide general and specialist advice and information on the organisation-s products and services such as at the front counter or by telephone; 7. Responding to clients, the public or suppliers- problems within own functional area utilising a high degree of interpersonal skills; 8. Applying computer software in order to i. Create new files and records; ii. Maintain computer-based records management systems; iii. Identify and extract information from internal and external sources; iv. Use advanced word processing or keyboard functions; v. Arranging travel bookings and itineraries, making appointments, screening telephone calls, responding to invitations, organising internal meetings, establishing and maintaining reference lists or personal systems; vi. Applying specialist terminology and processes in professional offices. vii. Social media and marketing. Days and hours of work are negotiable but will need to combine with the availabilities of other staff members to ensure the operational needs of the business are met. You be required to work reasonable additional hours in excess of your ordinary hours to meet the seasonal operational requirements of the business over the course of the year.
